Privacy policy for Events at the Max Planck Institute for Comparative and International Private Law

Information on data processing under Art. 13 GDPR

The Max Planck Society for the Advancement of Science (MPG) takes the protection of your personal data very seriously. The following data protection information is intended to inform you about the most important aspects of (i) data processing in the context of your registration for events, (ii) the registration for our mailing list regarding events and (iii) the taking and recording of photos and videos at events held at the Max Planck Institute for Comparative and International Private Law.

3. Purpose of data processing

The personal data you provide will be stored and collected for the purpose of sending event invitations and organising events. Submission of your data serves as your consent to the storing and processing of this data for the above-mentioned purposes. In addition, pictures and video recordings will be taken at.

Photo material will be processed, stored and archived for public relations purposes as well as to build up an image archive documenting the history of the Institute. Video recordings of events at the Max Planck Institute for Comparative and International Private Law and the associated data processing are done for the purpose of documentation and for use in the Institute's public relations work. The video recordings are published on the Institute's website (https://www.mpipriv.de/mediathek). Recording is limited exclusively to statements of the moderator and the presentations of the speakers. Any subsequent discussion with event attendees will not be recorded. By accepting the invitation and/or by participating in the event subject to recording, we have received your consent to store and process this data for the above-mentioned purposes.

4. Legal basis for data processing

The legal basis for data processing is Art. 6, para. 1, lit. a GDPR.

5. Recipients or categories of recipients

Your data is processed within the framework of system processing done by the Gesellschaft für wissenschaftliche Datenverarbeitung mbH Göttingen (GWDG) – the GWDG is a cooperative institution of the Georg-August-Universität Göttingen and the Max Planck Society – and by MATE Development GmbH. Data is not disseminated to third parties. The Max Planck Institute for Comparative and International Private Law has access to your data only to the extent necessary for the internal allocation of tasks. The staff of the event team and the Research Coordination and Scientific Communication Unit have access to the data.

Lists of participants may be made available at events. These lists of participants are not published elsewhere and can be viewed only by the participants of the respective event. They list the participants' surnames and first names as well as the institution/company with which they are affiliated.

6. Data transmission

Where your data is submitted via a registration portal of the Max Planck Society, the administration and storage of your personal data is carried out within the framework of system processing done by the GWDG. Where your data is submitted via a registration portal of the Max Planck Institute for Comparative and International Private Law, the administration and storage of your personal data is carried out within the framework of system processing done by MATE Development GmbH. Data will not be disseminated to other third parties.

7. Storage period

Data you have provided upon registering for an event will be deleted as soon as it is no longer required for the purpose of its processing and there are no longer any legally applicable retention periods.

Photo material is stored in an image archive to document the history of the Institute. Your personal data will be stored until your consent is revoked or you object to processing. Video recordings will be stored for purpose of documentation and for use in the Institute's public relations work until the recorded person revokes consent or objects to processing.

8. Revocation

In accordance with Art. 7, para. 3 GDPR, you have the option to withdraw your consent at any time and may object to the processing and storage of your personal data.

If you do not wish to receive any further invitations to events of the Max Planck Institute for Comparative and International Private Law or if you wish to object to the use of event photos or video recordings, you can send an e-mail at any time to veranstaltungen@mpipriv.de.

9. Data subjects' rights

As a data subject whose personal data is being collected in the context of the above-described purposes, you have the right to information regarding data stored about you by the MPG, the right to demand the correction of data in the event of inaccuracy or the deletion of data in the event of unauthorised data storage, and the right to data portability. You also have the right to lodge a complaint with the supervisory authority. For the Max Planck Society, this is the Bavarian State Office for Data Protection Supervision, Post Office Box 606, 91511 Ansbach.
